No cookies, no tracking
This website sets no cookies. No analytics, statistics or marketing services are used, no usage profile is created and no data is passed to advertising networks. A consent banner is therefore not required.
Fonts are not loaded from external servers either; they are delivered together with the website. Opening a page therefore creates no connection to Google or any other third party.
The only exception is the password-protected admin area in which our staff handle bookings: only after signing in does it set a session cookie that keeps the sign-in active; it is not set when you visit the website. This storage is strictly necessary for access to the admin area (section 165(3) of the Austrian Telecommunications Act 2021, TKG 2021).
Only if you use the "Pause motion" / "Resume motion" button in the footer does your browser keep this setting in its local storage, so that animations and videos stay paused on your next visit. The setting contains no personal data and is not sent to us; you can change it with the same button or delete it in your browser. Storing it is necessary for this function you explicitly requested (section 165(3) of the Austrian Telecommunications Act 2021, TKG 2021).
Hosting and server logs
This website is hosted by Vercel Inc., 440 N Barranca Ave #4133, Covina, CA 91723, USA. Pages are delivered through Vercel’s global network, usually from a data centre near you; the server functions of this website (online booking, contact form, your booking page and the creation of your booking documents as PDF) run in the Frankfurt am Main region (EU).
When you open a page, your browser transmits technically necessary data to Vercel’s servers. In particular, the IP address, date and time, the address requested and the amount of data transferred, the status code and browser and operating system details are logged.
This processing is necessary to provide the website and to keep it stable and secure. The legal basis is Art. 6(1)(f) GDPR, our legitimate interest in secure operation. Vercel acts as our processor (Art. 28 GDPR). The logs are not merged with other data and are deleted automatically once they are no longer needed for these purposes.
Online booking and contact form
If you request a ride through our booking form, we process the details you enter: the type of ride, pick-up and destination address and any stops, date and time, a return trip, your flight number, the number of guests and suitcases, requested child seats and the vehicle class, as well as your name, email address, phone or WhatsApp number, your company if you wish, the language in which we should reply to you, and your message. Through the contact form we receive your name, email address, phone number, preferred date and your message.
We use this data to handle your request, to send you a quote or a confirmation and to carry out the ride. The price shown is calculated by the website from our price list; whether your booking is accepted is decided by our staff. The legal basis is Art. 6(1)(b) GDPR where your request is directed at a contract, otherwise Art. 6(1)(f) GDPR, our legitimate interest in answering enquiries.
Address suggestions while typing
When you type an address into the booking form, the website suggests matching addresses. For this, our server, not your browser, sends the search text entered so far (from three characters) to the geocoding service “Photon” of komoot GmbH, Kienberger Allee 4, 12529 Schönefeld, Germany, which returns matching addresses from OpenStreetMap. Your IP address and all other details from the form are not transmitted; komoot receives only the search text.
Identical search texts are answered for one day from our host’s cache, without a new request to komoot. The purpose is quick and correct entry of the pick-up and destination address; the legal basis is Art. 6(1)(b) GDPR (pre-contractual steps at your request) or Art. 6(1)(f) GDPR (our legitimate interest in correct addresses). You do not have to choose a suggestion. Any address you type yourself is accepted as well. The address data comes from OpenStreetMap (© OpenStreetMap contributors, ODbL licence).
Storage of your booking
When you submit it, your booking request or message is stored in our booking database with the details listed above, together with the times it was received and processed (such as quote, confirmation and status changes) and the messages we send you about it. The database is operated by Databricks, Inc. (“Neon”), 160 Spear Street, Suite 1300, San Francisco, CA 94105, USA as a processor (Art. 28 GDPR); it is located in a data centre in Frankfurt am Main (EU). Only our staff have access, via a password-protected admin area, as well as our processors where technically necessary for operation and maintenance.
Emails and documents about your booking
Quotes and confirmations are sent to you personally by our staff (by email from our mailbox, by WhatsApp or by phone), if you wish with a PDF document that our website creates for this purpose. Emails are currently not sent automatically through any further service provider.
We reply in the language you choose in the form. If the form suggests a reply language, it recognises it from the text of your message in your browser; no data is passed to third parties for this.
Your personal booking page
After submitting, you receive a personal link to your booking page. There you can see the status of your booking, accept a quote or cancel the booking. The link contains a random key known only to you; anyone who knows the link can view the booking, so please do not pass it on. The page sets no cookies and is not indexed by search engines.
Protection against abuse
To protect against automated bulk requests, when you submit a form we store a hash value of your IP address that is formed with a secret value changing daily, so that the IP address cannot be recovered from it. It is only counted and deleted after 24 hours. The legal basis is Art. 6(1)(f) GDPR, our legitimate interest in protecting the website.
Contact by email, phone or WhatsApp
If you contact us by email, phone or WhatsApp, we process your details in order to answer the enquiry and to handle your booking. The legal basis is Art. 6(1)(b) or (f) GDPR.
If you message us on WhatsApp, the message is transmitted through the service of WhatsApp Ireland Limited; data may also be transferred to Meta Platforms, Inc. in the USA. WhatsApp’s own privacy notice applies to that processing. If you do not want this, please contact us by email or phone.
Links to other websites
The links to WhatsApp and to route planning in Google Maps are plain links. Opening this website creates no connection to these services; only when you click such a link do the privacy notices of the respective provider apply.
Recipients and transfer to the USA
Vercel Inc. (hosting), Databricks, Inc. ("Neon", booking database) act as our processors. These companies are based in the USA. Although the server functions and the booking database are located in Frankfurt am Main, access from the USA is possible because their operators are US companies.
Transfers of personal data to the USA rely on the European Commission’s adequacy decision for the EU-US Data Privacy Framework (Art. 45 GDPR) where the provider is certified under it, and otherwise on the European Commission’s standard contractual clauses (Art. 46(2)(c) GDPR), which form part of the data processing agreements.
Apart from the search text for address suggestions (see above), your data is not passed on to any other third party unless we are legally obliged to do so.
Retention periods
We keep your booking for as long as we are processing it. If a contract is concluded (you booked a ride bindingly or accepted our quote and we confirmed it), we retain the booking for the statutory retention period of seven years under section 132 of the Austrian Federal Fiscal Code (BAO); the legal basis for this is Art. 6(1)(c) GDPR. Requests and messages that do not lead to a contract are deleted at the latest three years after the last contact. This period follows the three-year limitation period for damages claims under section 1489 of the Austrian Civil Code (ABGB); the legal basis is our legitimate interest in defending legal claims (Art. 6(1)(f) GDPR).
The abuse-protection hash values are deleted after 24 hours, server logs after a short period. Your rights (see “Your rights”) also apply to your stored bookings; statutory retention obligations take precedence over erasure.
Your rights
You have the right to access, rectification, erasure, restriction of processing and data portability, as well as the right to object to processing based on legitimate interests (Art. 15 to 21 GDPR). An informal message to info@vienna-private-driver.com is sufficient.
If you believe that the processing of your data breaches data protection law, you may lodge a complaint with the Austrian Data Protection Authority (Datenschutzbehörde): Barichgasse 40–42, 1030 Vienna, Austria, dsb@dsb.gv.at, www.dsb.gv.at.
No automated decision-making
No automated decision-making, including profiling under Art. 22 GDPR, takes place.
